Terms and Conditions of Attendance 

Early Years Support Group (Ages 0–18 months) 
Delivered by: Oxford Family Support Network (OXFSN) 
In partnership with Cafélias Ltd and funded by Global’s Make Some Noise 
Venue: Baptist House, Broadway, Didcot , OX11 8XD
Fridays 10am to 12pm

Welcome: 

We’re delighted to welcome you to our early years support group — a safe, friendly, and inclusive space for families of children aged 0–18 months with learning disabilities or developmental needs. 

The group provides opportunities for play, connection, and community. Sessions include a structured, play-led activity, and refreshments (tea and coffee) for adults.

To keep everyone safe and comfortable, we ask that you read and agree to the terms below. 

We want you and your child to feel safe, welcome, and relaxed during your time with us. While our team is here to help create a warm and engaging environment, we kindly ask that parents and carers stay with their child throughout the session. 

You know your child best, and your presence helps them feel secure and supported as they explore and play. 

  • Our staff and volunteers are here to run activities and offer support, but we do not provide childcare or supervision. 

  • If you need to step out briefly, please just let a member of the team know if you need assistance. 

  • We understand every child is different — if at any time you feel unsure about whether the group is the right fit for your child, we're happy to talk this through with you and offer a trial session to help you decide.

2. Creating a Safe Space 

We aim to make the group as safe and accessible as possible for everyone. 

  • All toys and equipment are chosen with care and checked regularly. However, some may have small or loose parts, so please keep an eye on your child while they play. 

  • A full risk assessment has been completed for our sessions and we hold public liability insurance. 

  • A trained first aider is available at every session. 

  • If you or your child are feeling unwell or have symptoms of a contagious illness, we ask that you rest at home and join us when you're feeling better to help protect all our little ones. We can arrange a virtual connection if you would like the interaction whilst at home.

3. Using the Venue 

Sessions take place in Baptist House, Didcot, which is used by other organisations. 

  • We’ll always aim to make the space as accessible and comfortable as possible. 

  • There is disabled parking at the rear of the building, free parking is available for up to 5 hours at Orchard Centre, Didcot and off-road parking near surrounding public roads. 

  • Please help us by staying within the areas set aside for the group  

  • You are welcome to come and go during the session — for fresh air, the toilet, or any other needs. 

  • We understand that children may be active, noisy or unsettled. That’s completely okay — we want everyone to feel relaxed and supported. 

  • We have a quiet space within the sessions for your emotional and physical comfort, please feel free to use this as and when its required.

4. Respecting Each Other 

We ask everyone attending the group — families, staff and volunteers — to treat each other with kindness, patience and respect. We want this space to feel safe for everyone and we know how unique our experiences are. 

  • If something doesn’t feel right, please let a team member know. We’re here to listen. 

  • We won’t tolerate any behaviour that is aggressive, hurtful or discriminatory. Everyone deserves to feel included.

5. Safeguarding 

Keeping children and families safe is very important to us. 

  • All staff and volunteers are DBS checked and we have a designated safeguarding lead at each group. We endeavour to get all staff to complete safeguarding courses.   

  • There will be a paediatric first aid trained facilitator at all groups. 

  • If you ever have a concern about a child’s wellbeing, or something that happens in the group, please speak with one of the team or contact our safeguarding lead [Contact below].

6. Refreshments and Allergies 

We provide tea, coffee, and light snacks during the session. 

  • If you or your child have any allergies or dietary requirements, please let us know. 

  • Parents and carers are responsible for supervising children during snack times or when using any food and drink provided.

7. Your Information and Feedback 

To help us run the group safely and report to our funders, we may collect some basic personal information. 

  • Any data you share will be stored securely for up to 2 years and only used in line with our data protection policy. 

  • We may use anonymous data to help us monitor the service or report outcomes.
