Terms and Conditions: Cafélias: The Inclusive, Accessible Space

These terms and conditions ("Terms") govern the attendance and use of play equipment and specialist equipment offered by Cafélias Ltd ("Cafélias") at our public café events ("pop-ups") located in Oxford. By attending and using our play equipment and specialist equipment, you agree to abide by these Terms. Please read them carefully.

  1. Supervision and Responsibility​

1.1 Children must be supervised by a responsible adult at all times while using the play equipment. The free-play toys provided may contain small parts or detachable pieces, and supervision is necessary to ensure the safety of the children.

1.2 Cafélias cannot accept responsibility for any injuries or accidents resulting from the use of the play equipment, toys, or any other equipment in the café. Users assume full responsibility for their own safety and the safety of the children under their supervision.

2. Respect and Kindness

2.1 Cafélias is an inclusive space accommodating both children and disabled users. We expect all visitors to respect each other's space and treat one another with kindness and consideration. 2.2 Customers are responsible for using the equipment and the café space appropriately. If you are unsure about using any equipment or the space, please seek assistance from our staff who will be happy to provide guidance.

3. Risk Assessment and Reporting

3.1 Cafélias conducts regular risk assessments to ensure the safety of its customers, staff, and management. We encourage customers to report any identified risks to our staff promptly.

3.2 Any responsible adult users of Cafélias, including non-paying customers, vistors, staff, and management are responsible for contributing to a safe environment by identifying risks within the café space and reporting them as soon as feasible. Cafélias will address identified risks or remove them as soon as practically feasible. In a case where immediate change to the risk identified is not possible appropriate signage and information will be shared with the appropriate people.

4. Kitchen and Serving Areas

For safety reasons, children are not allowed in the café's kitchen and serving areas. Please keep children away from these areas to prevent accidents or injuries.

5. Object-Free areas

5.1 Cafélias has designated toy- and object- free areas to accommodate individuals using mobility aids such as wheelchairs and walkers. These areas are essential for ensuring accessibility and should be respected by all visitors.

5.2 Cafélias reserves the right to move any objects or equipment left in the toy-free areas to a safe space to maintain accessibility and prevent obstruction.

6. Food Service

6.1 Cafélias provides food options suitable for individuals with swallowing problems or feeding tubes. We can blend food to the desired consistency, but the ultimate responsibility lies with the customer who purchases the food to ensure its appropriateness for consumption.

6.2 Cafélias cannot accept responsibility for any problems related to tubes or feeding. In the event that the food is not appropriate, Cafélias will make reasonable accommodations to rectify the issue or offer a full refund.

7. Allergens

7.1 Cafélias operates a small kitchen and cannot guarantee that our food is free from allergens. If you have any allergies, please inform our staff, and we will provide more detailed information regarding the ingredients in our food.

7.2 Please be aware that we handle nuts in our kitchen. If you have nut allergies, take necessary precautions and consider this information before consuming our food.

8. Staff and DBS checks

8.1 Cafélias is committed to ensuring the safety and well-being of its customers, especially children and vulnerable adults. We are actively working towards having all staff in the café possess a Disclosure and Barring Service (DBS) certificate. 

8.2 However, please be aware that at this time, not all staff or volunteers working in the café, particularly those involved in kitchen operations or outside of the main café area, may have undergone a DBS check.

8.3 To ensure the safety of all dependents, it is essential that they are supervised by a responsible carer at all times while visiting Cafélias.

8.4 Cafélias takes its responsibility to safeguard customers seriously and will continue to strive towards having all staff undergo the necessary DBS checks to provide a safe environment.

This clause emphasizes the importance of supervision and acknowledges that while efforts are being made to have all staff possess DBS certificates, some staff members in certain roles may not have undergone checks. It reinforces the need for customers to supervise their dependents at all times.

By attending any event or group organised by Cafélias and using our play equipment, specialist equipment, and other facilities, you agree to comply with these Terms and Conditions. Cafélias reserves the right to update or modify these Terms as necessary. Any changes will be communicated to customers through appropriate channels.
